1. Establishment details
Enter these in the Excel template before uploading, or fill them here after upload. They appear on the PDF contribution summary.
2. Wage period
3. Upload payroll Excel
Use worksheet PF Data with these 8 input columns: Universal Account No., Employee Name (As per EPFO/UIDAI), Gross Wages, PF Wages, Pension Wages, EDLI Wages, NCP/LOP Days and Refund of Advances. Employee PF is 12% of PF Wages, rounded to the nearest rupee. EPS and Employer EPF are then calculated. All age checkboxes start unchecked; tick only employees confirmed as above 58 years.
Supported: .xlsx, .xls and .csv. Your workbook is processed in this browser.
Save location
Chrome or Edge on a computer can save to a file you choose. Other browsers keep data in browser storage only; use the backup below.
Saved data

Backup files contain employee UAN numbers and names. Keep them in a secure folder and do not share them.
Export rows
Take the uploaded rows, with the calculated Employee PF, EPS and Employer EPF, out of the tool.
Clear saved data
Removes the uploaded rows and establishment details from this browser, and empties the chosen save file. Download a backup first if you need it.
Release notes and user guide
PF ECR File Creator, Version 1.0.0, released 24 October 2026.
1. Purpose
PF ECR File Creator turns a payroll Excel sheet into a draft Electronic Challan cum Return (ECR) text file for the EPFO portal, and into a one-page EPF contribution summary. It checks the sheet, works out Employee PF, EPS and Employer EPF for every row, and keeps your work saved so that it is still there the next time you open the tool.
- Prepare the ECR text draft from the same payroll sheet every month, in minutes.
- Catch missing or duplicate UANs, blank names and impossible values before the file is uploaded.
- Get a contribution summary (A/C.01, A/C.02, A/C.10, A/C.21, A/C.22) as a PDF for your records and payment.
- Keep establishment details, the wage period and the uploaded rows saved, with a backup you can download and restore.
2. Who it is for
- Employers and establishment managers who file their own monthly EPF return.
- Payroll, accounts and HR teams who prepare the return for one or several establishments.
- Compliance consultants who want a quick, transparent check of a client's data before filing.
3. What is in Version 1.0.0
| Area | Feature |
|---|---|
| Excel upload | Reads the worksheet PF Data (or the first sheet) of an .xlsx or .xls file, and also .csv. The establishment code, name and address can be read from the rows above the column headings. |
| Template | A downloadable Excel template with the eight input columns and the establishment rows. |
| Validation | Missing, malformed and duplicate UAN; missing name; negative or non-numeric values; PF wages above gross; pension wages above PF wages; EDLI wages above gross; NCP/LOP days above 31. |
| Calculations | Employee PF, EPS and Employer EPF for each row, with an above-58 tick for each employee. |
| ECR text | A draft file with 11 fields per employee separated by #~#, one employee per line. |
| PDF summary | One-page EPF contribution summary with establishment details, wage totals, and the A/C.01, A/C.02, A/C.10, A/C.21 and A/C.22 amounts. |
| Validation report | Download the list of errors and warnings as a CSV file. |
| Saved work | Work is kept in the browser. In Chrome or Edge it can be saved automatically to a file you choose the first time. Backup can be downloaded and uploaded. |
| Data tab | Saved-data summary, Excel and CSV export of the rows with calculated amounts, backup download and upload, backup text that fills in automatically for copying or restoring, change of save location, and clearing of saved data. |
| Privacy on screen | Uploaded UANs and names are masked in the preview by default (for example 1234****9012 and R*** K***). A tick box shows the full values when you need them. Sample data is always shown in full. |
| Clear uploaded data | A button on the Create ECR tab removes the uploaded rows and results but keeps the establishment details and wage period. Clear saved data on the Data tab removes everything. |
| Scrolling tables | The data preview scrolls vertically and horizontally inside its own box, and the column headings stay in view. |
| Look and feel | Techmin HR Solutions branding, light and dark themes, works on phones and computers. |
4. How to use the tool
- Open the tool. On the first visit it asks where your data should be saved. In Chrome or Edge on a computer, choose a dedicated file; the tool then saves to it automatically. Otherwise choose Not now and use Download backup regularly.
- Create ECR tab, step 1: enter the establishment code, name and address. They appear on the PDF summary.
- Step 2: select the wage month and year.
- Step 3: download the Excel template if you do not have it. Fill the PF Data sheet with the eight input columns, one employee per row, and upload it. You can also load the sample data to see how the tool works.
- Click Validate payroll. Read the errors and warnings. Correct the Excel sheet and upload it again until the errors are cleared or explained.
- In the preview, tick the Above 58 box only for employees you have confirmed to be above 58 years of age. Totals update immediately. UANs and names are masked on screen; tick Show full UAN and names if you need to see them.
- Download the contribution report (PDF) and the ECR text file. Check them against the current EPFO format before uploading to the portal.
- Data tab: download a backup after major changes, or export the rows with calculated amounts to Excel or CSV. The backup text box fills in by itself, so you can copy it. To restore, upload a backup file, or paste backup text into the box and choose Load text in box.
- When the month is finished, use Clear uploaded data on the Create ECR tab before starting the next month. Your establishment details stay.
5. How the figures are worked out
- Employee PF: 12 per cent of PF wages, rounded to the nearest rupee.
- EPS: 8.33 per cent of pension wages, rounded to the nearest rupee. For an employee ticked as above 58, EPS is nil and pension wages are exported as 0.
- Employer EPF: Employee PF less EPS, rounded.
- A/C.21 (EDLI contribution) and A/C.02 (admin charges): each 0.50 per cent of total PF wages, rounded. A/C.22 is shown as 0.
- Contribution summary: employee row = A/C.01; employer row = A/C.01 + A/C.10 + A/C.21; admin row = A/C.02 + A/C.22; the grand total is the sum of the three rows.
- The tool uses the wages you enter. It does not apply the EPF wage ceiling to PF wages or pension wages. Enter the wages on which contribution is actually payable.
6. EPF and EPS after the age of 58
The tool treats the Above 58 tick as the only age test. When the box is ticked, EPS is calculated as nil, pension wages are exported as 0, and the whole of the 12 per cent employer share is shown as Employer EPF. Whether a particular employee is covered by EPF and EPS after 58, and on what wages, depends on membership history, the date of joining, any option exercised and the current EPFO instructions. Confirm each case before you tick the box and before you file.
7. Saving, backup and privacy
- Everything runs in your browser. Your payroll data is not sent to any server by this tool.
- In Chrome or Edge on a computer, choose a save location the first time. The tool then writes to that file automatically and loads it again next time. The browser may ask once to renew permission.
- Other browsers keep the data in browser storage only. Use Download backup and Upload backup.
- Backup and save files contain employee UAN numbers and names. Keep them in a secure folder and do not share them.
- The backup text box on the Data tab shows the full backup, including UAN numbers and names, because it is meant to be copied. Do not leave it open on a shared screen.
- Clearing browser data, or using a private window, removes the browser copy. The chosen save file and your downloaded backups are not affected.
8. Known limits
- This is an independent utility and not an EPFO product. The ECR layout, field order and any change in the portal specification must be checked before every filing.
- Wage ceilings, voluntary contributions, arrear returns, international workers and exemptions are not modelled.
- Only the first 100 rows are shown in the preview, although all rows are validated, calculated and exported.
- Masking hides UANs and names on the screen only. The ECR file, exports, backups and saved data contain the full values.
- Browsers without the File System Access API cannot save to a chosen file.
